Attendance should not be delegated to the next in charge unless absolutely
necessary. It is expected that all Officers will work together in the spirit of
mutual cooperation irrespective of their designation or pay scale.

• The monthly meetings are necessarily to be attended by the Head of
each vertical of that State/ UT. In case the Head of Office is on leave, the
next senior most officer shall attend the meeting. The Head of vertical
organising and coordinating the Monthly meeting will act as moderator of
the meeting.
• The date of the meeting would be second Friday of the month. In case,
Friday is non-working day, meeting shall be held on preceding working
day.

• The record of each meeting shall be drawn covering all the agenda points
of the meeting and shall be circulated within next three working days. The
Head of vertical organising and coordinating the monthly meeting finalise
the record of the meeting.
IV. Specific Procedure

The agenda of the meeting should include these items apart from any other
regional issue that can be taken up with the permission of the chair.

a) Sharing of achievements/ activities undertaken during last month:
Each participating vertical to share activities undertaken by them and
achievements or new initiatives of the vertical during the preceding month.
All verticals will also share feedback/ concerns as received from their
shareholders pertaining to their vertical or other vertical. These issues will
also be discussed with a view to understand if there is any systemic issue
and evolve ideas for resolution.

b) Discussion of Government Circulars and Instructions: During the
Monthly meetings, all participating verticals must discuss and share
relevant Government circulars, policies, and instructions issued during
the past month. This ensures that everyone is well-informed about recent
developments and changes. The coordinating vertical of the monthly
meeting for the particular month will be responsible to share and discuss
the Government circular/ policy/ OM/ Order etc issued during preceding
month which may be useful for MOLE verticals.

c) Sharing Innovative Actions: To encourage cross-learning and best
practices, each vertical should present and discuss innovative actions
or projects they have undertaken. This sharing of experiences fosters a
culture of innovation and continuous improvement.
